How it works

From your voice to the chart in four steps.

STEP 1

Dictate

After the visit, talk through what you did — or type rough notes. Transcription happens on your laptop.

STEP 2

Cadence drafts

It fills your practice's template, carries forward what should carry, and flags anything you didn't say instead of guessing.

STEP 3

You review

Check every section, fix the amber flags, and save. Nothing is final until you say so.

STEP 4

Send to Office Ally

One click opens the patient's note in Office Ally; the Chrome add-on fills each box and saves a draft for you to sign.

Privacy by design

Patient information stays on your laptop.

  • Local AI. Transcription and note writing run on the laptop itself — not a cloud service.
  • Encrypted storage. Patients and notes are stored encrypted on the device.
  • Office Ally only through your browser. The add-on fills the chart you have open in your own logged-in session. Cadence never stores your Office Ally password.
  • You sign. Cadence saves drafts; it never signs or submits a note.
Install

One-time setup, about 45 minutes.

Most of that is downloading. You only do this once per laptop.

  1. Check the laptop

    Windows 10 or 11 Pro, 16 GB memory, about 40 GB free disk. Turn on BitLocker (Settings → Privacy & security → Device encryption) before any patient data goes on it.

  2. Install Python 3.12

    From python.org. On the first installer screen, tick “Add python.exe to PATH.”

  3. Install Ollama

    From ollama.com. It runs Cadence's note-writing model on your laptop.

  4. Download and unzip Cadence

    Download above, then unzip into this exact folder (use the version number you downloaded):C:\Cadence\versions\1.1.0\

  5. Run the installer

    Open that folder, click the address bar, type powershell and press Enter. Then paste:powershell -ExecutionPolicy Bypass -File .\setup.ps1It installs everything, downloads the models, and puts a Cadence shortcut on your desktop.

  6. Voice-to-text (one time)

    The installer asks for a free Hugging Face access token. Create an account at huggingface.co, accept the terms on the google/medasr page, then create a “Read” token and paste it in.

  7. Open Cadence

    Double-click the desktop shortcut. In Manage Office, enter your Office Ally layout numbers (SoapLayoutIDs). Add your patients with their Office Ally Patient ID.

Office Ally

Add the Chrome add-on.

The first time you click Send to Office Ally, Cadence shows these steps with copy buttons.

  1. Open the extensions page

    Paste chrome://extensions into Chrome's address bar and turn on Developer mode (top right).

  2. Load Cadence

    Click Load unpacked and choose C:\Cadence\current\extension

  3. Pin it

    Click the puzzle-piece icon and pin Cadence → Office Ally.

Updates

You decide when to update.

An update can change how notes are written, so Cadence never updates by itself. Read what changed, then update when it suits you — your patients and notes are backed up first and never touched.

To update: close Cadence, download the new version above, and follow the release notes that come with it. Rolling back to the previous version is always possible.
